Document Coding
Capitol offers a range of coding and document preparation services
- Document Unitization
Document Unitization is a service, whereby the determination of document boundaries is established, also referred to as document determination. This is generally performed when bibliographic coding is required. Capitol offers two standard types of Document Boundary Determination services: (1) Physical Determination, and (2) Logical Document Determination (LDD).
Physical determination provides a single-level of document unitization that is based on the presence of binding elements such as a staple or paper clip. A section of loose pages are considered one document. Capitol will not inspect individual loose pages to determine single-page document status, or establish its relationship as a single page that is part of a document or other loose pages.
LDD establishes two levels of unitization; attachment range and document range within attachment. Capitol inspects all pages for logical boundaries. LDD complements the physical determination in that the physical binding element is typically the attachment range.
Document Boundary Determination services includes physical document preparation for scanning services, e.g. removing physical barriers (staples, clips, etc.), smoothing dog-ears, taping torn edges and batching of documents.
- Bibliographic Coding
Capitol offers as part of its standard litigation support services, Objective Bibliographical Coding. Bibliographic Coding is a process whereby certain information within the document is identified and captured for use in a database.
A standard bibliographic coding service is available with the following fields:
- Begin Document/End Document
- Begin Attachment/End Attachment
- Document Type
- Document Title
- Document Date/Estimated Date Flag
- Characteristic
- Author, Recipient, Copyee
If client requirements exist outside the definition of the standard coding service, Capitol provides customized coding services that are based on a Client's specialized requirements.
Format and Record Specifications
This section contains definitions of the currently defined standard technical format and record specification by which data and images will be delivered.

While Capitol provides data and image conversion services in virtually every known format that is available, the formats listed are those systems and formats that are prevalent in the Legal Industry for litigation support. In the event a format other than those defined within is required, the request will be evaluated for feasibility and priced accordingly.
- In-Text Coding
Perform a physical line-by-line review of each page of each document, coding the requested words or names into a database record that is associated with the document that the word or name was found in.
