The cost savings combined with the ability to capture data that is unavailable via standard production is a huge advantage for our clients. Additionally, the time saving provided via our process allows clients to access critical information quicker than previously thought possible. Currently, Capitol can process up to 15 different email platforms including Microsoft and Lotus Notes. The program allows us to create a project within our software based on individual needs. At that point we can insert the program to eliminate duplicates from the collection as we continue to load .PST files. In many cases, we are adding archived email files from numerous back-up tapes making the de-duplication process critical. Once the email file has been loaded, we "rip" the email capturing all of the critical data. Custom report options, and filtering of data are available. Once the email program has been ripped we have many production options. Based on client instructions we can set the program to produce all or only certain document types within the archived email file. For example--a Microsoft .PST file can contain 15 different document types (emails, journal entries, contacts, tasks completed, etc.) and perhaps the opposing counsel has only requested emails. In this situation we create a database from just the emails and the other document types are simply ignored. We can also set a filter by date to produce only the documents that fall within a certain time period. We can work with virtually any media type available today. Currently, we are producing email received on ZIP disks, CD's, hard disks, DDS3 tapes, DLT tapes and AIT tapes, just to name a few. Additionally, upon request, the data can be reviewed securely via the internet. Today, law firms are realizing not only the cost and time savings associated with electronically producing email in the discovery process, but also the liability of producing email to paper. During a paper production of email many programs such as Outlook allow the user to actually modify the original email by adding text, recipients and attachments. Also many conflicts occur between the application and the device used to create the paper: the printer. Application conflicts are common and affect virtually every known email program. These conflicts keep critical data such as the existence of attachments, underlined text and multiple pages of email messages from being printed to paper. The 100% accurate process produces the email programmatically preventing any missed or manipulated data. Service OptionsCustom ConversionsUtilizes data and image engineering department to provide custom image and data conversion, format, and recording services that fall outside the specifications of Capitol's standard services. Image EndorsementProvides the mechanism to add up to two lines of content as part of the tiff image. The actual tiff image is not altered in content, but re-sized to allow for additional image content to be placed on the same tiff page with its original content. Image ConversionConverts a digital image from its current format to a different format. For example, single page tiff to a multi-page tiff formatted file. Data Record ConversionConverts an existing formatted data record to a different format. This service may require the development of custom programming directives necessary to perform the reformatting. Electronic Data ConversionTakes disparate types of electronic media (disks, CDs, DVDs) and their associated files (emails, MS Office Documents, PDFs) and converts them to a common image format for legal review and/or production as part of the discovery process. It also enables a complete text extraction and capture of metadata for porting to any commonly used database format. iDiscover processing can be performed at a source level and file de-duplication can be performed at the has file level. File analysis reports are provided as part of this service to identify exactly what types of files, and how many, are present on a particular form of electronic media. BlowbacksProvides hard copies from TIFF images created by Capitol or other sources. The paper can be reassembled or slip-sheeted to discern document boundaries based on client requirements. Capitol can also provide selective printing. |
