    Imaging & OCR Services

In short, image based documents are simply digital pictures of paper documents usually stored onto CD-ROMS. Imaging improves your document control during indexing, case preparation, witness depositions, settlement talks and trial. Imaging will also organize and save tremendous amounts of space within your firm by eliminating the need to store endless amounts of boxes. Costs can be slightly more than traditional labeling and photocopying of documents. However, this process produces significant savings and advantages throughout the span of the case--including trial preparation

    1. Document Scanning
Capitol's standard scanning service generates digital images from paper in Tagged Information File Format (TIFF) in Group IV file compression format. Images are individually reviewed to verify their quality completeness utilizing a quality control process that includes visually comparing the image alongside the physical page that was used to create it. Any image that does not accurately represent the integrity and quality of its paper version will be re-scanned.

    2. Document Reassembly
This service includes removing all sheets of paper that may have been inserted during the production process, and reassembling the documents back to their organization upon receipt. The recording of document binding elements are made during document preparation and are used as reference to restore original bindings.

    Some of those advantages include:

    • Effective Use of Time. Automatic search and retrieval through the use of computers makes you more productive because of the ease and speed with which you can access documents.
    • Never a Lost or Misfiled Document. Once the images are stored on CD-ROM the information cannot be rearranged or erased.
    • Fast Retrieval Response Time. Rapid response to inquiries is one of the best benefits of an automated document management system. A single document can be found out of hundreds of thousands of documents--in a matter of seconds.
    • No "Out of File" Conditions Exist. With an imaged based system, files are never "out"--no matter how many people want to see them.
    • More Information is Found. By utilizing imaging and full-text databases, the quantity and quality of the information you access is overwhelmingly better.
    • Cost Effective. Your firm will reap the constant benefit of reduced labor costs from the electronic organization of an image-based document management system.
